Job Overview
The ideal candidate for our open position is a team player who also excels at taking initiative and working independently. You’ll work in a small team, but the right person will not wait for tasks to be handed to them but instead will see problems and work to fix them.
Part of your job duties will be to perform secretarial and administrative support including scheduling meetings, recording minutes, developing agendas, issuing meeting materials, and distributing materials via communication tools for meetings that you will help create and manage, but not be required to lead.
The right person for the job will be great at communicating and knows how to fix a Zoom issue or other technical issues should they arise. The right candidate will be on top of their email inbox, check voicemail and return calls/answer questions on a daily basis. You'll need to be an attentive listener as taking meeting notes is a key component of this job.
This job requires some who is timely and shows up for an 11:00 meeting at 10:55 just to make sure they are prepared and ready to go. You must have reliable transportation, as the job will require you to be onsite at our main HQ location, but also at the sites our organization serves. Remote working, after a period of time, is a possibility. The role is a supportive role for the St. Louis City CoC, a local initiative that exists to serve the homeless population across the city of St. Louis.
Responsibilities
· Coordinate and support all CoC meetings - CoC STL Board, committees, subcommittees, and work groups
· Coordinate CoC meetings and communicate effectively with members to promote collaboration, negotiation, and problem solving
· Help CoC follow the Governance Charter and any approved changes
· Provide planning and project management support for the CoC
· Coordinate communication within the CoC
· Provide orientation, onboard and train new CoC members and CoC STL Board members
· Assist in planning training opportunities for the CoC writ large
· Manage the CoC’s Basecamp communication platform
· Post and keep communication up to date across the CoC alongside Mission: St. Louis Dev/Comms team
· Develop and distribute a monthly CoC newsletter alongside Mission: St. Louis Dev/Comms team
· Draft and send letters of support for agencies upon request, following a protocol approved by the CoC STL Board
· Draft and send communications on behalf of the CoC at the request of Mission: St. Louis, the CoC STL Board or any of its committees
· Provide support to a lived experience group
· Plan and implement at least one appreciation/awareness event for the CoC membership

Requirements
· Strong analytical and organizational skills; attention to detail is a must
· Works well in a team, but excels at individual tasks and meeting deadlines
· Strong communication and coordination skills
· Good English verbal and written skills
· Capable of speaking in front of small and large groups of people
· Experience working with nonprofits, fundraising, and grant writing preferable, but not mandatory
· Ability to quickly adapt and problem solve
· Robust software and research skills
· Excellent interpersonal skills
· Ability to gather and organize complex data and information from multiple sources and parties
· Ability to think critically and strategically
· Sensitive to confidential matters
· Ability to work well with all internal management and staff and outside clients and vendors
· Bachelor's Degree in related field or equivalent experience
· Database Administration: 2 years (Preferred)
· Microsoft Suite: 2 years (Preferred)
