Attend Council Meetings and Annual General Meetings
Handle operations duty in property management and asset management experiences

Able to oversee and ensure the smooth operations and effective management of the building/estate
Lead and supervise administrative staff and contractors providing maintenance, security, fire safety and carpark management
Effective maintenance fund collection
Activity sharing preventive maintenance programs
To ensure competitive tendering of purchase and service contracts
Assist in insurance claims for any damages to common property if required
Competent control of expenses
Recommend budget for each year to determine the amounts to be collected for the Maintenance and Sinking Fund
Ensure compliance with warranties & guarantees
Ensure a satisfactory level of security, cleanliness and housekeeping
Prepare minutes of Council Meetings and Minutes of AGM
Review all outgoing correspondence and minutes of meetings
To prepare AGM documents
Ensure compliance with divisional policies
To plan and carry out preventive building maintenance works for common facilities and properties
Ensure all resident complaints are attended to promptly and efficiently and monies collected are handed to the Accounts Department immediately
To place orders for building maintenance materials and to keep track of their issuance as and when required
To plan duty roster, affecting replacement and covering of duties for all site staff
Day to day supervision of the site management staff
Oversee the security of the building and keep tenants informed of the emergency procedure
Oversee the administration of maintenance contracts
Prepare all tender documents, agreements, contracts and other legal documents
Evaluate of property for insurance purposes and recommend the sum insured for the various policies
Review all contracts, agreements and insurance 2 months before their expiry and recommend renewal or call for quotation/tender
To arrange for the annual audit of accounts
To advise Council if the expenditure is within the budget approved at General Meetings/Monthly financial accounts/revision of the monthly statement
Able to handle night meetings and weekend meetings
To recommend an annual salary adjustment
