Residential Development Administrator

The Residential Development Administrator will be responsible for assisting the Residential Real Estate Development team with administrative support tasks including communicating with suppliers and clients, and document management. This position will provide support to the team throughout the full cycle of a real estate development project from the start up to the final delivery.
This is a hybrid role with a mix of in-person office days in Mississauga, in-person days on site in Toronto, and work from home.
RESPONSIBILITIES:
Administrative Support: Provide general administrative support to the development team, including managing calendars, scheduling meetings, and organizing travel arrangements.
Communication: Serve as a point of contact between internal teams, external partners, and stakeholders, ensuring effective communication.
Research: Conduct market research and gather information on properties, zoning regulations, and development trends.
Event Coordination: Assist in organizing meetings, site visits, and community outreach events related to development projects.
Maintain paper and electronic filing system for all project documents including contracts and billing
Manage team email inbox, responding to inquiries and redirecting project related matters accordingly
Follow up with internal and external clients by email and telephone
Gather information and liaise with internal and external clients for drafting communications
Respond to emails from internal and external clients on status of files and payments
Coordinate internal and external meetings
Coordinate monthly project report summaries for senior leaders
Assist with project accounting and manage billing processes, ensuring timely and accurate invoicing tracking and tracking of payments as required, including invoice coding and filing
Order samples of materials, following up with suppliers as necessary
Assist with special projects, for example, setting-up temporary offices for projects, including ordering supplies and furniture
Coordinate and distribute due diligence items and documentation
Assist with property management: coordinate services or appointments, follow up on delinquent rents, monitor utility billing, draft and coordinate leasing agreements
Create and improve project management workflows to enhance the efficiency of operations
Prepare PowerPoint presentations as required to assist the team
Assist in preparing mass communication such as mail merges as required
QUALIFICATIONS:
Minimum 3 years of experience in administrative support
Administrative experience in a real estate development or construction environment would be an asset
Organized with a strong attention to detail
Ability to work with minimal supervision, a self-starter
Strong time management with the ability to prioritize in a fast-paced work environment
Proficient in MS Office including MS Project, , Word and Excel
Advanced skillset in MS PowerPoint
Strong proficiency in data management
Strong customer service and communication skills
